German E-Invoices in QAD: From Receipt to Posted Voucher

From January 2027, larger German suppliers must send structured e-invoices. See them matched to the PO and receipt and posted in QAD, with no one keying them.

From 1 January 2027, German suppliers with turnover above €800,000 must send structured e-invoices, and from 2028 every business must. Most QAD finance teams are ready to receive them. Far fewer are ready to process them.

These invoices are built to be read by software, not people. Some, like XRechnung,contain no readable document at all. It is a pure XM File and is machine readeable. Others, like ZUGFeRD, look like a normal PDF but hold the real invoice data inside the embedded XML file. It is both human readable and machine readable. Standard scanning misses it in both cases.

They also arrive in different ways, through Peppol, by email and through direct connections, and not every supplier gets the format right. From January, a plain PDF from a larger supplier is no longer a valid invoice for VAT purposes, so problems need to be caught before the invoice is processed.

Getting that right is the first step. It is not the last. Every compliant invoice still has to be matched to the PO and receipt in QAD, approved and posted.
